Ireland Chess Technology (“we,” “our,” or “us”) operates the ChessCapture mobile application (the “App”) available on the Google Play Store. We are committed to protecting and respecting your privacy.

This Privacy Policy explains how we handle, process, and protect any information collected when you use our App, in accordance with the General Data Protection Regulation (GDPR) and Google Play Developer Policies.

2. Information We Collect and Process

A. Device Permissions and Media

To provide the App’s core functionality—scanning physical chess scoresheets—we request access to your device’s hardware:

  • Camera Permission: Used solely to take a picture of your physical chess scoresheet.
  • Photo Library / Storage Access (Optional): Used if you choose to import an existing photo of a scoresheet from your gallery.

B. Uploaded Score Sheet Images

When you scan or import an image of a chess scoresheet, the App uploads the image to our secure remote server (https://ictl.ie) to perform OCR (Optical Character Recognition) via our processing backend.

  • Personal Data in Images: Chess scoresheets often contain handwritten names of the players, event details, and dates. If these are captured in your photo, they are transmitted to our system.
  • Data Retention: We do not store your uploaded images or processed data permanently on our servers. Images are processed in-memory (or temporary storage), analyzed, and immediately deleted after OCR processing is complete

C. Personal Account Information

  • ChessCapture does not require you to create an account, log in, or provide personal identification details (like your name or email) to use the App.

3. How Data is Shared (Third-Party Services)

To complete the chess OCR, the image or extracted text from the scoresheet is processed using cloud endpoints. We share coordinates/image data with:

  • Google Cloud / Gemini Vision API: Our server interacts securely with Google Cloud services to interpret the visual scoresheet image. No personal identification data (apart from any names written directly on the sheet) is shared, and Google’s respective enterprise privacy terms apply to API processors.

We do not sell, rent, or trade your personal data to any third party.

4. Legal Basis for Processing (GDPR)

Under the GDPR, our legal bases for processing scoresheet transmission are:

  1. Contractual Necessity / Performance of Service: Processing your scoresheet image is necessary to deliver the core service you requested (generating the PGN file from your photo).
  2. Consent: By granting Camera/Gallery permissions and initiating the upload, you explicitly consent to the temporary transfer and processing of the image.

5. Your Rights Under GDPR

As an EU resident, you have the following rights regarding data:

  • Right of Access & Erasure: Because we delete your scoresheet images immediately after processing, and we do not collect account data, we generally do not hold any personal data that can identify you. However, if you believe we hold any of your information, you can contact us at info@ictl.ie to request access or deletion.

6. Updates to This Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date.
